Observation Summary

Aggregate the responses from closed observations for one form set, broken down by form, section, and question.

The Summary Report aggregates the answers from your closed observations for a single form set. Instead of listing individual observations, it rolls every response up by form, then by section, then by question, so you can see how a whole school or district answered each item on the instrument.

Role: reporter, organization administrator, or system administrator. The report includes only closed observations, in the organizations your role can reach.

To reach it, go to Reports > Observation Reports and click Summary Report.

A summary is always built for one form set, so the Form Set selector in the toolbar pulses until you pick one. Until then the report reads “Please select a Form Set to view the Summary Report.”

Once a form set is chosen, the report builds and shows its progress (“Rendering: …”) as it works through the questions. Next to the results, the report notes how many observations and organizations the responses come from.

The Summary Report for the Classroom Walkthrough form set, 2026–27 school year: the toolbar with Saved Filters, date range, Month grouping, Form Set, and Filter, then the first question with a 98% score, a table of answer rates, and a chart of answer rates and scores by month.

The results are grouped by form → by section → by question:

  • Rubric sections show a table for the section’s questions: each rubric level’s Value and Rating, how many Answers chose it, and Points as the average out of the points possible.
  • Matrix sections show a table of responses distributed across the matrix markers.
  • Regular question sections show each question’s Score and a table of its choices with an Answer Rate and Answers: how often each choice was selected. Click an answer count to open the list of observations behind it.

If your filters exclude everything, the report reads “No responses meet the filter settings.”

A Show Graphs box (in the ⋮ menu, ticked by default) draws a chart for each question. The chart type fits the question: answer rates and scores over time, a selection breakdown, a rubric-score chart, a matrix distribution, and so on.

The toolbar has a date range (the current school year to start) and a grouping list (Month, Semester, or Year; Month to start), which sets the intervals the charts group answers by.

The Filter button opens a dialog with these fields:

  • Organizations: narrow to specific buildings, or leave open for everything you can access.
  • Questions: limit the report to specific questions.
  • Observees: the people who were observed.
  • Observers: the people who conducted the observations.
  • Grade Levels, Class Periods, Content Areas: narrow by where the observation took place.

Use Saved Filters in the toolbar to save the current filters under a name and reload them later, so you don’t rebuild a common view each time. See Saved Reports.

The ⋮ menu’s Export as PDF renders the report, graphs included, to a PDF named Summary Report <date>.pdf. Each page carries “Observation Summary Report” in the header and a generated time and page numbers in the footer. The file downloads when it is ready.
