Managing Your Training Records

Export transcript data and maintain records of your professional development activities.

Your transcript serves as the official record of all completed professional development activities. You can export this data for license renewals, continuing education requirements, and compliance documentation.

Your transcript automatically tracks all completed learning activities:

  1. Navigate to eLearn from the main menu
  2. Click My Transcript
  3. View your complete training history

Your transcript includes completion dates, PD hours earned, certificates received, and assessment scores for all finished content.

The system automatically calculates professional development hours based on:

  • Course Duration: Estimated completion time for guided content
  • Assessment Time: Time spent on exams and evaluations
  • Certificate Hours: Credit hours assigned to certificates
  • Custom Hours: Manually assigned PD values by administrators

Hours appear on your transcript once you complete the associated content with a passing score.

To export your training records:

  1. Access your transcript from the eLearn dashboard
  2. Click Export or Download
  3. Choose your preferred format (PDF or CSV)
  4. Select the date range for records to include
  5. Click Generate Report

You’ll receive an email notification when your export is ready for download.

PDF Format:

  • Professional certificate-style layout
  • Suitable for license renewal submissions
  • Includes official completion verification

CSV Format:

  • Spreadsheet-compatible data
  • Detailed breakdown of all activities
  • Useful for personal record-keeping

Use date filters to focus on specific time periods:

  1. Select Start Date and End Date
  2. Click Apply Filter
  3. Export the filtered results

This helps when you need records for:

  • Annual license renewals
  • Specific academic years
  • Grant reporting periods

Organize records by professional development categories:

  1. Use the Category or Subject filter
  2. Select relevant topics (classroom management, curriculum, assessment, etc.)
  3. Generate targeted reports

Categories align with state professional development requirements and teaching standards.

Most states require specific documentation for license renewal:

  1. Export your transcript covering the renewal period
  2. Include certificates for required PD hours
  3. Verify completion dates meet state deadlines
  4. Submit official transcript as supporting documentation

For specialized certifications:

  1. Filter records by certification-specific requirements
  2. Verify minimum hour requirements are met
  3. Include assessment scores if required
  4. Export both summary and detailed records

Regular Downloads: Export your transcript quarterly to maintain current records

Backup Storage: Save exports in multiple locations (cloud storage, local files)

Documentation: Keep completion certificates and assessment results

Verification: Cross-reference exported data with your internal records

Use your transcript to:

  • Identify gaps in required training areas

Your transcript displays:

  • Activity Name: Course or content title
  • Completion Date: When you finished the requirement
  • PD Hours: Professional development credit earned
  • Score: Assessment results (if applicable)
  • Certificate: Credential issued (if applicable)
  • Category: Subject area classification

All information reflects official completion records maintained by your organization’s administrators.

Missing Records: Contact your administrator if completed activities don’t appear

Export Delays: Large date ranges may take longer to process

Format Problems: Try different export formats if downloads fail

Access Issues: Verify you have appropriate permissions to view transcript data

Your training records provide essential documentation for career advancement and professional compliance requirements. Regular maintenance ensures you have current, accessible records when needed.
