Observation Reports and Export
Generate reports and export observation data for analysis.
Master Teacher’s weCLIMB module provides comprehensive reporting and export capabilities for observation data. You can generate detailed reports, export data in multiple formats, and create blank observation forms for offline use.
Viewing Observation Reports
Section titled “Viewing Observation Reports”Individual Observation Reports
Section titled “Individual Observation Reports”- Navigate to weCLIMB → Observations
- Click on any completed observation
- View the detailed report including:
- Observer and observee information
- Form responses and ratings
- Comments and feedback
- Scoring data
Summary Reports by Organization
Section titled “Summary Reports by Organization”You can view observation totals across your organization structure:
- Go to weCLIMB → Reports → Organization Totals
- Select filtering options:
- Date Range: Choose time period
- Organizations: Select specific schools/departments
- Grade Levels: Filter by grade level
- Content Areas: Filter by subject area
- Class Periods: Filter by class period
- Form Sets: Select specific observation forms
- Group By: Totals by status
- View observation counts and distribution
Observable User Reports
Section titled “Observable User Reports”Track which staff members have been observed:
- Navigate to weCLIMB → Reports → Observable Totals
- Filter by:
- Organizations: Specific schools or departments
- Grade Levels: Filter by grade level
- Content Areas: Filter by subject area
- Class Periods: Filter by class period
- Date Range: Specific time period
- Observed Filter Status: All users, observed only, or unobserved only
- View results by staff member
Generating PDF Exports
Section titled “Generating PDF Exports”Individual Observation PDFs
Section titled “Individual Observation PDFs”Export any observation as a professional PDF report:
- Open the observation you want to export
- Click PDF Export
- Wait for the job to complete
- Download the generated PDF
The PDF includes:
- Complete observation details
- All responses and ratings
- Comments and feedback
- Scoring summary
Bulk Observation PDF Export
Section titled “Bulk Observation PDF Export”Export multiple closed observations at once as a ZIP file of individual PDFs:
- Navigate to weCLIMB → Observations
- Apply filters to select the observations you want to export
- Initiate the bulk export
- The system queues the export and renders each PDF individually
- When complete, download the ZIP archive
Bulk exports require observations to be closed. If no closed observations match your filter, the export will not proceed. Only one bulk export can run at a time per organization.
Performance Review Report PDFs
Section titled “Performance Review Report PDFs”For performance reviews, you can generate comprehensive reports:
- Navigate to the performance review
- Click Export Report
- Choose options:
- Include Rubrics: Add detailed scoring breakdowns
- Include Signature: Add signature lines
- Click Generate PDF
Blank Observation Form PDFs
Section titled “Blank Observation Form PDFs”Create printable versions of your observation forms for offline use:
- Go to weCLIMB → Forms
- Select the form you want to export
- Click Export Blank PDF
- Click Generate
The blank PDF is named after the form set. Blank PDFs are useful for:
- Backup documentation during technology issues
- Training new observers
- Creating practice forms
CSV Data Exports
Section titled “CSV Data Exports”Observation Data Export
Section titled “Observation Data Export”Export detailed observation data for analysis:
- Navigate to weCLIMB → Observations
- Apply any desired filters
- Click Export CSV
- Download the file when ready
The CSV includes:
- Observation metadata
- All responses
- Scoring data
- User information
Answer-Level Export
Section titled “Answer-Level Export”For detailed analysis, export individual question responses:
- Go to weCLIMB → Reports → Observation Answers
- Set filters for specific:
- Date ranges
- Organizations
- Grade levels
- Content areas
- Class periods
- Forms or questions
- Observers or observees
- Click Export
This provides granular data for statistical analysis and research.
Filtering Report Data
Section titled “Filtering Report Data”Date Range Filters
Section titled “Date Range Filters”Most reports allow date filtering:
- Start Date / End Date: Specific date ranges
- Observed Date: When the observation occurred
Organization Filters
Section titled “Organization Filters”Filter by organizational structure:
- Specific Schools: Individual buildings
- Districts: Entire district data
User Filters
Section titled “User Filters”Narrow results by people:
- Observers: Who conducted observations
- Observees: Who was observed
Form and Content Filters
Section titled “Form and Content Filters”Filter by observation content:
- Form Sets: Specific observation forms
- Grade Levels: Elementary, middle, high school
- Content Areas: Math, reading, science, etc.
- Class Periods: Specific periods or blocks
Understanding Report Metrics
Section titled “Understanding Report Metrics”Observation Counts
Section titled “Observation Counts”Reports show various count metrics:
- Total Observations: All completed observations
- Unique Users Observed: Individual staff members observed
- Average per User: Observations divided by staff count
Scoring Metrics
Section titled “Scoring Metrics”When forms include ratings:
- Average Scores: Mean ratings across observations
- Score Distribution: How ratings are spread
- Trend Analysis: Score changes over time
Completion Rates
Section titled “Completion Rates”Track observation completion:
- Closed vs. Open: Finished vs. in-progress observations
- Response Rates: Percentage of questions answered
- Compliance Metrics: Meeting observation requirements
Role Requirements
Section titled “Role Requirements”Different roles have varying report access:
- System Administrators: Access all reports across the tenant
- Organization Administrators: Reports for their assigned organizations
- Reporters: Read-only access to assigned reports
- Observers (evaluator/observer role): Can export their own conducted observations
- Observables: Can access reports of their own observations
Export Job Processing
Section titled “Export Job Processing”Large exports are processed as background jobs:
- Click the export button
- Job is queued for processing
- You’ll receive an email when complete
- Download link provided in email
Bulk PDF exports progress through the following stages: queued → rendering → assembling → completed. If an export fails, you can restart it. Stale or failed exports are automatically reaped by the system.
