Getting Started with weCLIMB
Generating Observation Reports
Create and export comprehensive reports from your observation data.
The weCLIMB module provides multiple ways to generate and export comprehensive reports from your observation data. You can create PDF exports, summary reports, and detailed analytics to share with stakeholders.
Accessing Observation Reports
Section titled “Accessing Observation Reports”Individual Observation Reports
Section titled “Individual Observation Reports”You can generate reports for individual observations:
- Navigate to weCLIMB → Observations
- Click on the observation you want to report
- Click the PDF Export button
- The system generates a PDF named after the observee (e.g.,
jane-doe-observation-2025-01-15.pdf)
Role requirement: Reporter, System Administrator, or Organization Administrator
Performance Review Reports
Section titled “Performance Review Reports”For performance review reports:
- Navigate to weCLIMB → Performance Reviews
- Select the performance review
- Choose Generate Report
- Configure report options
Role requirement: Evaluator or System Administrator
Report Types
Section titled “Report Types”Summary Reports
Section titled “Summary Reports”Summary reports provide high-level analytics:
- Observable Totals: Shows observed vs unobserved users
- Organization Totals: Observation counts by school/department
- Grade Level Analysis: Observation distribution by grade
- Content Area Breakdown: Subject-specific observation data
Detailed Reports
Section titled “Detailed Reports”Detailed reports include complete evaluation data:
- All form responses and ratings
- Comments and feedback
- Attachments and supporting materials
- Scoring and rubric details
- Observer and observable information
Generating PDF Exports
Section titled “Generating PDF Exports”Blank Observation Forms
Section titled “Blank Observation Forms”To export blank observation templates:
- Navigate to weCLIMB → Forms
- Select the form you want to export
- Click Export Blank PDF
- The system generates a PDF named after the form
Completed Observation Reports
Section titled “Completed Observation Reports”For individual observation PDFs:
- Open the completed observation
- Click PDF Export
- The system generates a comprehensive report including:
- Observation details and metadata
- All responses and ratings
- Scoring data
- Observer and observable information
You can optionally include the discussion thread by selecting Include Discussion before generating.
Performance Review Reports
Section titled “Performance Review Reports”Performance review PDFs can include additional options:
- Navigate to the performance review
- Click Export Report
- Choose report options:
- Include Rubrics: Add detailed scoring breakdowns
- Include Signature: Add signature fields
- Click Generate Report
Filtering and Sorting Data
Section titled “Filtering and Sorting Data”Reports support a range of filter criteria. You can save filters for reuse — saved filters appear on each report page and can be reloaded without re-entering criteria.
Common Filters
Section titled “Common Filters”The following filters are available across observation reports:
- Date Range — Set Start Date and End Date to scope observations by when they occurred
- Organizations — Filter by one or more schools or departments
- Grade Levels — Scope to specific grade levels
- Content Areas — Filter by subject area
- Class Periods — Filter by class period
- Form — Scope to a specific observation form (form set)
- Observees — Filter by the person being observed
- Observers — Filter by who conducted the observation
- Questions — Scope to specific form questions (for answer data reports)
Status Filters
Section titled “Status Filters”Depending on the report, you can filter by observation status:
- Closed: Completed observations only
- Open: Draft observations
- All: Both completed and draft observations
The Organization Totals report also supports a Totals by Status grouping to break down counts by observation status.
The Observable Totals report includes an Observed Filter Status option:
- Observed Users: Only users with at least one observation
- Unobserved Users: Users without any observations
- All Users: Complete coverage analysis
Report Analytics
Section titled “Report Analytics”Observable Totals Report
Section titled “Observable Totals Report”Generate a report showing observation coverage across staff:
- Navigate to Reports → Observable Totals
- Set filter criteria (organizations, grade levels, date range, etc.)
- Use the Observed Filter Status option to scope to observed, unobserved, or all users
- Save the filter for future reuse, or export results
Organization Totals Report
Section titled “Organization Totals Report”View observation distribution across schools:
- Navigate to Reports → Organization Totals
- Apply filters (organizations, grade levels, content areas, form, date range, etc.)
- Use Totals by Status to group counts by observation status
- Review observation counts and patterns
Summary Report
Section titled “Summary Report”Access aggregate observation data across the platform:
- Navigate to Reports → Summary
- Apply filters including form, organizations, grade levels, content areas, class periods, observees, observers, questions, date range, and time grouping
- Save the filter for future reuse
Answer Data Reports
Section titled “Answer Data Reports”Export detailed response data:
- Navigate to Reports → Observation Answers
- Filter by date range and other criteria
- Export the comprehensive answer dataset for detailed analysis and trending
Exporting Reports
Section titled “Exporting Reports”CSV Exports
Section titled “CSV Exports”For data analysis and external reporting:
- Access any report view
- Click Export
- The system generates a CSV file with:
- Filtered data based on your current view
- All relevant fields and metadata
- Formatting suitable for spreadsheet analysis
PDF Generation
Section titled “PDF Generation”For formal reporting and sharing:
- Individual observation PDFs include complete evaluation data
- Summary reports can be printed from the browser
- Blank forms are available for paper-based observations
Background Processing
Section titled “Background Processing”Large report exports are processed in the background:
- The system queues your export request
- You receive a notification when the export is complete
- A download link is provided via email or in-app notification
- Reports remain available for download after processing
Sharing Reports with Stakeholders
Section titled “Sharing Reports with Stakeholders”Internal Sharing
Section titled “Internal Sharing”Share reports within your organization:
- Email PDF reports to administrators
- Share CSV data with data analysts
- Print summary reports for meetings
- Archive reports for compliance
External Reporting
Section titled “External Reporting”For district or state reporting:
- Export anonymized data for research
- Generate compliance reports
- Create board presentation materials
- Share aggregate data with stakeholders
Note: Ensure you follow your organization’s data privacy policies when sharing observation reports.
Report Storage and Access
Section titled “Report Storage and Access”Generated reports are automatically stored and linked to:
- Original observations and evaluations
- User profiles and performance reviews
- Organization records and archives
- System audit trails for compliance
Reports remain accessible to authorized users based on their role permissions and organizational access.
