Release Notes: Notification Preferences

Overview
Section titled “Overview”Tenant users can now manage which notification emails they receive, from a new Notifications section on their profile (Account menu → My Profile). Previously, most activity emails — observation reflection and acknowledgment prompts, coaching digests and reminders, and course recommendations — had no per-user control at all; the only existing per-user email toggle governed comment mail. This release introduces a single, consistent per-user preference layer across all of them.
This is a behavior change that affects every tenant, not only mobile users. It’s worth reading the Heads-up for support notes below before the first questions arrive.
At a glance
Section titled “At a glance”- New Notifications section on the user profile with an Email column of on/off toggles, grouped into Observations, Coaching, and Messages & recommendations.
- Every optional notification defaults to on — existing users see no change unless they opt out.
- The observation Final report is exempt: it’s shown but can’t be turned off.
- A Push column is present but disabled — a preview of a future mobile update; nothing sends push yet.
- Changes save automatically; a Mute all optional shortcut clears every optional category at once.
- Comment notifications now reach the teacher during the reflection/acknowledgment workflow, not only after an observation closes.
What changed — per-user email preferences

Section titled “What changed”Nine notification categories are now individually controllable per user (eight optional, one always-on):
- Observations — Reflection requests, Acknowledgment requests, Acknowledgments received, and the always-on Final report.
- Coaching — Action step updates, Action step reminders, Overdue visit alerts.
- Messages & recommendations — Comments & replies, Course recommendations.
Each category resolves independently. A user with no saved preference receives everything that applies to them — identical to prior behavior.
Turning it on
Section titled “Turning it on”Nothing to enable. The section appears automatically for any user who has at least one applicable category. Rows for products an organization hasn’t licensed (weCLIMB, coaching) are hidden; rows an administrator has muted at the organization level still appear, with a status note.
Heads-up for support
Section titled “Heads-up for support”- “I stopped getting reflection/coaching emails.” Check the user’s My Profile → Notifications first — they may have opted out. Their choice is remembered even across organization-setting changes.
- Organization-wide gates still win. The existing admin settings (observee/observer notifications, coaching reminders) continue to gate delivery. If an entire organization stops receiving a category, look at the administrator settings, not the user’s preferences. A muted category shows “Turned off by your administrator…” on the user’s profile.
- Existing opt-outs were carried over. Anyone who previously had “Receive Message Notifications?” turned off now has Comments & replies turned off — the same preference, in its new home. The old admin/reseller controls still work and now write this preference.
What changed — coaching notifications

Section titled “What changed”The coaching action-step digest, the two daily coaching reminders (action-step due and overdue-visit), and course recommendations are now gated by the recipient’s per-user preference in addition to the existing organization coaching settings.
Heads-up for support
Section titled “Heads-up for support”- The daily coaching reminders are scheduled jobs; a coachee or coach who has opted out is simply skipped in that run, and everyone else still receives theirs.
- If coaching reminders are muted for the whole organization, that’s the organization’s coaching-reminders setting, not a user preference.
What changed — comment timing on observations

Section titled “What changed”The recipient rule for observation comments changed. Previously the teacher was notified about comments only once the observation was closed. Now the teacher is also notified once the observation is submitted and has a reflection or acknowledgment step — so a discussion can happen during the workflow. The observer is notified as before.
Heads-up for support
Section titled “Heads-up for support”- Expect teachers to receive comment email slightly earlier in the observation lifecycle than before.
- A teacher who doesn’t want these can turn off Comments & replies. In-app comment records are unaffected by the preference — only the email is.
The final report is always sent
Section titled “The final report is always sent”The observation Final report (the summary email when an observation is finalized) cannot be turned off by users; it appears in the list as always-on. One caveat for compliance conversations: it is still subject to the organization’s observee/observer notification settings. If an administrator has that recipient’s notifications turned off, the final report row shows a muted state and the email is not sent — that’s an administrator configuration, not a user choice.
What’s unaffected
Section titled “What’s unaffected”- Security and account email (sign-in links, invitations, password resets, verification codes), administrator broadcasts, export-ready notifications, and proctoring/compliance mail are never user-suppressable and don’t appear in the preferences list.
- In-app comment records still appear regardless of the email preference.
- Email templates, branding, and delivery timing are unchanged.
