Release Notes: Coaching Cycles
Overview
Section titled “Overview”Coaching Cycles brings instructional coaching into the same place you already run walkthroughs. Coaches pair with the teachers they support, assign action steps straight from an observation, and follow those steps through to completion at the next visit. Teachers get a calm, read-only view of what they’re working on, administrators get coverage and follow-through reporting, and — when reminders are turned on — both sides get a gentle nudge at the right moment. Everything is private to the coach and teacher by design; administrators see activity and trends, not the contents of a coaching conversation.
This release is the full Coaching Cycles feature: assignments and a coaching roster, action steps with a complete lifecycle, a reusable template library, professional-development course recommendations, reminder emails, a teacher-facing “My Coaching” page, and a coaching analytics dashboard.
Key Features

Each coach gets a “My Roster” dashboard listing the teachers they coach, with a cadence indicator on every row — Not started, Overdue, Due soon, or On track — plus last-visit timing, cycle stage, school, and a count of active steps.

Opening a teacher shows their coaching cycle: active action steps, a timeline of past walkthroughs, focus areas, stage, and coach.

Organization administrators get an “All Assignments” view across coaches.
Action steps with a full lifecycle

Assign action steps to a teacher directly from a walkthrough, then carry them forward. Each step can be Completed (with an optional completion note), Deferred until a date (with an optional reason), Revised, or Removed.

Steps stay visible on the next visit so coach and teacher pick up exactly where they left off.
Reusable action-step templates
- Build a library of “Action Step Templates” so coaches can drop a well-worded, reusable step into a cycle instead of retyping it each time. Managed by administrators under Settings.
Professional-development course recommendations

On any action step, a coach can Recommend a course from the organization’s licensed eLearn catalog using a searchable, category-filtered picker.

The recommendation shows on the step as a chip that tracks the teacher’s progress: Recommended, then Enrolled, then Completed. Coaches can remove a recommendation at any time.

This appears only for accounts with eLearn enabled. If no courses are licensed yet, the picker explains why there’s nothing to recommend.
The teacher’s “My Coaching” page

Teachers get a read-only “My Coaching” page that leads with what they’re working on now, quietly lists other active steps, celebrates completed steps as “Part of how you teach now,” and keeps deferred and past work tucked into their own sections.

The same coaching summary also appears as a “Coaching” panel inside the teacher’s observation view.
Reminder emails (optional)

When coaching reminders are on, teachers receive “Your coaching action steps are coming due” as a step’s check-back date approaches, and coaches receive “You have coaching visits that are overdue” when an assignment hasn’t been visited on cadence.

These are separate from other coaching emails and can be silenced on their own.
Coaching analytics dashboard

A “Coaching Dashboard” gives administrators activity, coverage, and follow-through at a glance: KPI tiles for Active coaches, People coached, Coverage, Completion rate, and Visits, plus charts for coverage, visit cadence, completion-rate distribution, visits over time, top focus areas, and visits by grade.

Drill into “Coaching Activity by Coach” or “Coaching Activity by School,” filter by school and coach, and Export CSV for any breakdown.
Privacy
Section titled “Privacy”Coaching content — the action steps, notes, and the coaching conversation — is visible only to the coach and the teacher in that cycle. Administrators see aggregate activity and reporting (who is being coached, how often, completion rates), never the private contents of a step or reflection.
Default Settings
Section titled “Default Settings”Coaching Cycles is made available to an account by your reseller and is off until an administrator turns it on. Reminder emails are a separate switch. Turning coaching off pauses it account-wide and hides active coaching work from coaches until it’s turned back on; existing coaching records are preserved and reappear when it’s re-enabled. The course-recommendation tools appear only when eLearn is enabled for the account.
