Organization Totals Reports
Organization Totals reports show observation counts grouped by different organizational dimensions — helping you understand activity patterns across your district or school system.
Accessing Organization Totals Reports
Role Requirements: System Administrator, Organization Administrator, or Reporter role
- Navigate to Observe > Reports
- Select Organization Totals
- The report loads with default filters applied
Report Grouping Options
You can view totals organized by three different dimensions:
By Organizations
Shows observation counts for each organization in your hierarchy:
- District-level view shows all schools
- School-level view shows departments or grade teams
- Respects your organizational access permissions
By Grade Levels
Breaks down observations by grade level:
- Elementary (K-5)
- Middle School (6-8)
- High School (9-12)
- Custom grade level configurations
By Content Areas
Groups observations by subject area:
- Core subjects (Math, Science, ELA, Social Studies)
- Specials (Art, Music, PE, Library)
- Custom content area definitions
Understanding the Data Display
Each report shows:
- Organization/Grade/Content Area Name
- Total Observations conducted
- Percentage of total activity
- Trend indicators when date ranges are applied
Results are automatically sorted by observation count (highest to lowest).
Filtering Report Data
Date Range Filters
- This Week/Month/Quarter - Predefined periods
- Custom Date Range - Select specific start and end dates
- Academic Year - Full school year view
Organization Filters
- Specific Schools - Select individual organizations
- Organization Types - Filter by elementary, middle, high school
- Active Organizations Only - Exclude inactive locations
User Filters
- Observer Role - Filter by who conducted observations
- Observable Role - Filter by who was observed
- User Status - Include only active users
Viewing Observable User Metrics
The report includes observable user statistics:
Observed vs Unobserved Counts
- Total Observable Users - Staff eligible for observations
- Observed Users - Staff who received observations in date range
- Unobserved Users - Staff with no observations in date range
- Observation Rate - Percentage of observables who were observed
User Status Breakdown
- Active users currently in the system
- Inactive users (transferred, retired, etc.)
- New users added during the reporting period
Analyzing Organizational Hierarchy Data
Multi-Level Views
When viewing district-wide data:
- Top Level shows district totals
- Drill Down reveals individual school performance
- Department Level shows sub-organization activity
Comparative Analysis
- Compare activity levels across similar organizations
- Identify high-performing observation programs
- Spot organizations needing support or attention
Trend Analysis
- Week-over-week observation trends
- Month-over-month progress tracking
- Year-over-year comparison data
Exporting Organizational Data
CSV Export Options
- Click Export button in the report header
- Choose export scope:
- Current Filter Results - Only visible data
- All Organizations - Complete dataset
- Summary Only - High-level totals
Export Contents
The CSV file includes:
- Organization/Grade/Content Area names
- Observation counts and percentages
- Observable user counts (observed/unobserved)
- Date range and filter information
- Report generation timestamp

Report Interpretation Tips
Healthy Observation Patterns
- Consistent activity across all organizations
- High percentage of observables being observed
- Regular observation frequency (not concentrated in short periods)
Areas for Attention
- Organizations with zero or very low observation counts
- High numbers of unobserved staff members
- Significant gaps in observation activity
Professional Development Insights
- Content areas receiving less observation attention
- Grade levels with observation gaps
- Organizations excelling in observation practices
Role-Based Data Access
Your view of Organization Totals is automatically filtered based on your role:
- System Administrators see all organizational data
- Organization Administrators see their organization and sub-organizations
- Reporters see data within their assigned scope
- Observers see only their own observation activity
