Observation Summary Reports

Summary reports provide aggregated views of observation data to help administrators and reporters analyze patterns across organizations, users, and evaluation periods.

Accessing Summary Reports

Reporters and System Administrators can access summary reports through the Reports section of the Observe module.

  1. Navigate to Observe > Reports
  2. Select the appropriate summary report type
  3. Apply filters to focus your analysis
  4. View results in the data table

Report Types

Organization Totals

View observation counts grouped by organization, grade level, or content area.

Available groupings:

  • By Organizations - Total observations per school/district
  • By Grade Levels - Observations distributed across grade levels
  • By Content Areas - Subject-specific observation counts

Observable User Reports

Track observation coverage across your staff:

  • All Observable Totals - Complete list of observable users with counts
  • Observed Totals - Users who have been observed during the period
  • Unobserved Totals - Users who need observations

Individual User Analysis

Drill down to specific users:

  1. Select an organization from the totals view
  2. Click to view individual user breakdowns
  3. See observation counts per person
  4. Identify users needing additional observations

Filtering Options

Date Range

Set your analysis period:

  1. Select start and end dates
  2. Choose from preset ranges (This Month, This Quarter, This Year)
  3. Apply custom date ranges for specific evaluation periods

Organization Scope

System Administrators can filter by:

  • Specific organizations
  • Organization hierarchies
  • Multiple organization selection

Organization Administrators automatically see their organization's data.

Grade Level and Content Area

Filter observations by:

  • Grade Levels - Elementary, Middle, High School bands
  • Content Areas - Math, Science, English Language Arts, etc.
  • Multiple selections - Combine criteria for focused analysis

Saving Report Filters

The system remembers your filter preferences:

  1. Set your desired filters
  2. Navigate away from the report
  3. Return to find your filters preserved
  4. Clear filters using the Reset option

Exporting Data

Generate reports for external analysis:

  1. Apply your desired filters
  2. Click Export
  3. Choose CSV format for spreadsheet analysis
  4. Download completes automatically

Export includes:

  • All filtered data
  • Organization names
  • User information
  • Observation counts
  • Date ranges

Understanding the Data

Count Interpretation

  • Total Observations - Raw number of completed evaluations
  • Unique Users - Distinct individuals observed
  • Coverage Percentage - Proportion of eligible staff observed

Status Indicators

Reports distinguish between:

  • Observed Users - Have at least one completed observation
  • Unobserved Users - No observations in the selected period
  • Active Users - Currently employed and eligible for observation

Role-Based Access

System Administrators

  • View all organizations
  • Access complete user lists
  • Export unrestricted data

Organization Administrators

  • See assigned organization data only
  • View subordinate organization details
  • Limited to organizational scope

Reporters

  • Read-only access to assigned scope
  • Cannot modify observation data
  • Export permissions based on assignment

Evaluation Period Planning

Track progress toward evaluation requirements:

  1. Set date range to current evaluation period
  2. View unobserved totals
  3. Identify users needing observations
  4. Plan remaining observation schedule

Compliance Monitoring

Ensure district-wide observation coverage:

  1. Group by organizations
  2. Compare observation rates across schools
  3. Identify schools needing support
  4. Generate compliance reports

Resource Allocation

Understand observation workload:

  1. View observer activity levels
  2. Identify high-volume periods
  3. Plan staffing and training needs
