Observation Data Reports

Observation data reports provide detailed insights into observation activities, answers, and evaluation results across your organization. These reports help administrators and evaluators analyze observation patterns, track progress, and make data-driven decisions about professional development.

Accessing Observation Data Reports

You can access observation data reports through several entry points depending on your role and needs.

From the Reports Menu

  1. Navigate to Reports in the main menu
  2. Select Observation Reports from the dropdown
  3. Choose the specific report type you need

Report Access by Role

Different roles have varying levels of access to observation data:

Filtering Observation Data

All observation reports include powerful filtering options to focus on specific data sets.

Date Range Filtering

  1. Use the date picker controls at the top of any report
  2. Select Start Date and End Date for your analysis period
  3. Click Apply to update the report data

Common date ranges include current school year, quarter, or custom periods.

Observer and Observable Filtering

Filter by Observer (Evaluator)

  1. Click the Observer dropdown
  2. Select one or more observers from the list
  3. Reports will show only observations conducted by selected users

Filter by Observable (Staff Member)

  1. Click the Observable dropdown
  2. Select specific staff members to analyze
  3. View observation patterns for individual teachers or groups

Organization Filtering

  1. Use the Organization filter to scope data
  2. Select specific schools or departments
  3. Reports automatically include sub-organization data based on your access level

Form and Content Filtering

By Observation Form

  • Filter to specific observation forms or templates
  • Compare results across different evaluation instruments

By Content Area

  • Focus on subject-specific observations
  • Analyze curriculum area performance

By Grade Level

  • View elementary, middle, or high school data

Understanding Observation Status Indicators

Observation reports display various status indicators to help you understand data completeness:

Observation Status

  • Draft: Observation started but not completed
  • In Progress: Observation underway but not finalized
  • Closed: Completed observation with all data final
  • Submitted: Observation completed and submitted to observable

Data Completeness

  • Complete: All required questions answered
  • Partial: Some questions unanswered
  • No Data: Observation created but no responses recorded

Viewing Observation Answers and Scores

Detailed observation reports show complete answer data and calculated scores.

Answer Details

Each observation displays:

  • Question text and response type
  • Selected answers or ratings
  • Written comments and feedback
  • Attached files or media

Score Calculations

When applicable, reports show:

  • Individual question scores

Exporting Observation Data

CSV Export Options

  1. Click Export from any observation report
  2. Select CSV Format for spreadsheet analysis

PDF Export Options

Individual Observation PDFs

  1. Navigate to a specific observation
  2. Click Export to PDF

Report Scheduling and Automation

Setting Up Scheduled Reports

  1. From any report view, click Schedule
  2. Select report frequency (weekly, monthly, quarterly)
  3. Choose recipients for automatic delivery
  4. Configure filter settings to maintain
  5. Save scheduled report settings

Troubleshooting Report Issues

No Data Showing

  • Verify your date range includes observation periods
  • Check organization and user filters aren't too restrictive
  • Confirm observations are marked as "Closed" status

  • Ensure you have proper role permissions
  • Verify observations are in your accessible organization scope
  • Check that observation status allows reporting access

Export Problems

  • Check your browser's download settings
