Managing Course Assignments

Course assignments are how you make learning content available to staff in your organization. As a system administrator, you can assign courses, set deadlines, and track completion progress.

Understanding Assignment Types

PD Edge supports two types of course assignments:

Required Assignments - Content that users must complete, often with deadlines Recommended Assignments - Optional content suggested for professional development

Required assignments appear with a red asterisk and yellow background in users' learning dashboards.

Viewing Product Assignments

You can access assignment management in several ways:

  1. Navigate to System Admin → Learn → Product Assignments
  2. Go to System Admin → Learn → Products and click View Assignments next to any product
  3. Access assignments through the Products section when managing specific content

The assignment list shows:

  • User: Who received the assignment
  • Product: The assigned course or content
  • Assigned By: Administrator who created the assignment
  • Start Date: When access begins
  • End Date: When access expires (if set)
  • Status: Current assignment status

Managing Assignment Dates and Deadlines

When creating assignments, you can set several important dates:

Available On - When users can first access the content Complete By - Deadline for completion (creates required status) Expires On - When access ends

Setting Completion Deadlines

To make an assignment required with a deadline:

  1. Create or edit the product assignment
  2. Set the Complete By date
  3. Check Required if not automatically set
  4. Save the assignment

Users will see required content highlighted in their learning dashboard with deadline information.

Bulk Assignment Operations

For efficient management across multiple users or organizations:

Creating Bulk Assignments

  1. Go to System Admin → Learn → Products
  2. Click Assign Users next to the product
  3. Select multiple users or entire organizations
  4. Set common assignment parameters
  5. Apply assignments to all selected users

Managing Existing Assignments

  1. Navigate to System Admin → Learn → Product Assignments
  2. Use filters to find specific assignments
  3. Select multiple assignments using checkboxes
  4. Choose bulk actions:
    • Extend deadlines
    • Revoke assignments
    • Update assignment parameters

Managing User Course Access

Individual User Access

To assign content to a specific user:

  1. Go to System Admin → Learn → Products
  2. Find the course or content
  3. Click Assign Users
  4. Search for and select the user
  5. Set assignment dates and requirements
  6. Save the assignment

Organization-Level Access

To provide access to entire organizations:

  1. Navigate to the product in System Admin → Learn → Products
  2. Click Manage Access
  3. Select organizations that should have access
  4. Set visibility and assignment rules
  5. Apply changes

Users in selected organizations will see the content in their available learning options.

Tracking Assignment Progress

Assignment Status Types

Not Started - User hasn't begun the content In Progress - User has started but not completed Completed - User finished successfully Failed - User completed but didn't pass (for assessments) Expired - Assignment deadline passed without completion

Monitoring Completion

  1. Go to System Admin → Learn → Results
  2. Filter by specific assignments or date ranges
  3. Review completion rates and progress
  4. Export data for further analysis

You can also view individual user progress by accessing their learning profile through the user management system.

Assignment Best Practices

Set Clear Deadlines - Use specific completion dates rather than open-ended assignments

Organize by Role - Group assignments by job function or department for easier management

Monitor Progress - Check completion rates regularly and follow up on overdue assignments

Use Bulk Operations - Save time by managing similar assignments together rather than individually

Assignment management is essential for ensuring your professional development requirements are met across your organization while providing staff with clear expectations and deadlines.
